Privacy Policy

This Privacy Policy explains how Dealers Auto Center (“DAC,” “we,” “us,” or “our”), collects, uses, protects, and shares information in connection with the Dealers Auto Center platform, websites, dealer storefronts, communication tools, and related services (together, the “Service”). It is part of, and should be read with, our Platform Terms of Use.

1. Who we are

Dealers Auto Center is a Texas-based company with its principal office at 1412 Main Street, Suite 620, Dallas, Texas 75202. You can reach us at support@dealersautocenter.com or (469) 224-1766.

2. Scope and our two roles

The Service is business software for licensed motor vehicle dealers, and we handle information in two distinct capacities:

  • Dealer and user information. For the information dealers and their team members provide to create and operate an account, we decide how and why it is processed. In privacy-law terms, we act as the controller of this data.
  • Consumer records entered by dealerships. Dealers use the Service to store records about their own customers — buyers, co-buyers, leads, and finance customers. For that information, the dealership is the controller and we act as its service provider (processor): we process those records only to provide the Service to the dealership and under its direction. If you are a dealership’s customer and want to access, correct, or delete your information, please contact the dealership directly; we assist dealerships in responding to such requests.

3. Information we collect

  • Account and dealership information: names, email addresses, phone numbers, dealership legal name and DBA, license information, business addresses, and user roles and permissions.
  • Platform content: vehicle inventory, photos, pricing, sales and transaction records, documents, and forms that dealership users create or upload.
  • Consumer records entered by dealerships: customer contact details, identification information, transaction details, and financing records that a dealership enters, including electronic signatures collected through integrated document signing.
  • Communications: emails, text messages, support requests, and — where a dealership uses platform calling features — call recordings and call logs.
  • Payment information: subscription payments are processed by Stripe. Card numbers are provided directly to Stripe and are never stored on our servers.
  • Technical and usage data: IP address, device and browser type, log data, timestamps, and records of actions taken in the Service, used for security, verification, and audit purposes.

4. How we use information

  • To provide, operate, and maintain the Service.
  • To authenticate users, including one-time verification codes sent by SMS and email.
  • To send service, account, and billing notifications.
  • To process subscription payments through Stripe.
  • To transmit vehicle inventory to third-party marketplaces a dealership enables.
  • To generate documents and support electronic signing.
  • To respond to support requests.
  • To secure the Service, prevent fraud and abuse, and maintain audit records.
  • To comply with legal obligations.

We limit collection to what is relevant and reasonably necessary for these purposes.

5. Service providers we use

We share information only with service providers that help us run the Service, under agreements limiting their use of it:

  • Microsoft Azure — cloud hosting, file storage, and secrets management.
  • Stripe — payment processing.
  • Twilio — SMS delivery, voice calling, and phone verification.
  • Email delivery providers — transactional and service email.
  • Vehicle listing marketplaces (such as CarGurus, Carsforsale, and AutoTrader) — inventory data is transmitted only for dealerships that enable a feed.

We may also disclose information when required by law, to enforce our agreements, to protect the rights, safety, or property of DAC, our dealers, or the public, or in connection with a merger, acquisition, or sale of assets (with notice before your information becomes subject to a different privacy policy).

6. Text messaging (SMS)

The Service sends text messages such as one-time verification codes, account and service notifications, and — on behalf of dealerships — customer communications the dealership initiates. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP, and reply HELP for assistance or contact us at support@dealersautocenter.com.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Mobile numbers and related information may be shared only with service providers (such as our SMS delivery provider) under confidentiality obligations, solely to operate and deliver the messaging service itself. We retain records of SMS consent and opt-outs as required to honor your preferences and demonstrate compliance.

7. Call recording

Where a dealership uses platform calling features, calls to and from platform phone numbers may be recorded for record-keeping and quality purposes. Recordings are stored securely and are accessible to the dealership associated with the call. Notice of recording is provided as required by applicable law.

8. What we do not do

  • We do not sell personal data.
  • We do not use your data for targeted advertising, behavioral remarketing, or ad networks.
  • We do not offer or use social media logins.
  • We do not share data with data brokers.

9. Cookies

We use only essential cookies and browser storage needed to sign you in, keep your session secure, and protect against fraud. We do not use third-party advertising or analytics cookies on this site.

10. Data security

Data is encrypted in transit (TLS) and sensitive fields are encrypted at rest. Secrets and credentials are stored in Azure Key Vault. Database access is restricted with row-level security and role-based access controls, and actions in the Service are logged for audit purposes. Card data is handled by Stripe and never stored on our servers. No method of transmission or storage is completely secure, but we maintain administrative, technical, and physical safeguards appropriate to the nature of the data we handle.

11. Retention and deletion

We retain information for as long as an account is active and as needed to provide the Service, comply with legal, tax, and regulatory obligations, resolve disputes, and enforce our agreements. Technical logs are generally retained for shorter periods. When information is no longer needed, we delete or de-identify it. You may request deletion as described below; some records must be retained where the law requires it.

12. Your privacy rights

Consistent with the Texas Data Privacy and Security Act, we honor the following rights for individuals, regardless of whether the statute technically applies to us:

  • To confirm whether we process your personal data and to access it.
  • To correct inaccuracies in your personal data.
  • To delete personal data provided by or obtained about you.
  • To obtain a copy of your personal data in a portable format.
  • To opt out of the sale of personal data, targeted advertising, or profiling with significant effects — practices we do not engage in.

To exercise these rights, email support@dealersautocenter.com. We will verify your identity and respond within 45 days; where reasonably necessary we may extend once by 45 days with notice. If we decline a request, you may appeal by replying to our decision, and we will respond to the appeal within 60 days. Texas residents may also submit complaints to the Texas Attorney General. If you are a dealership’s customer, your request should go to the dealership, which controls your records; we will assist it in responding.

13. Financed transactions and GLBA

Dealerships that extend or arrange financing are financial institutions under the federal Gramm-Leach-Bliley Act. When a dealership stores customer financing records in the Service, we act as the dealership’s service provider, maintain safeguards for that information, and use it only to provide the Service to the dealership. Dealerships remain responsible for their own privacy notices and GLBA obligations to their customers.

14. Browser extension (DAC Lister)

DAC Lister is an optional Chrome extension that helps dealers list their own vehicle inventory on Facebook Marketplace. When you connect the extension using a pairing code from your dashboard, it retrieves your dealership’s active inventory (vehicle details and photos) from your Dealers Auto Center account and pre-fills Facebook’s vehicle listing form in your browser. The extension stores only a pairing token locally on your device to identify your dealership; it does not collect your Facebook login, password, or personal Facebook data. You review every listing and publish it yourself — the extension never posts on your behalf automatically. The extension communicates only with Dealers Auto Center servers and the Facebook page you are actively using.

15. Children

The Service is business software and is not directed to anyone under 18. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.

16. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a new effective date, and for material changes we will provide notice by email or a prominent notice in the Service before the change takes effect, consistent with our Platform Terms of Use.
